Information we collect
When you use our website, contact us or make a booking, we may collect your name, email address, telephone number, booking details, the names and ages of painters, messages you send us and information needed to provide the session. You may optionally provide accessibility, sensory or additional-needs information so we can make reasonable preparations.
Payments are processed by our payment provider. We do not receive or store your complete card details.
Our website and service providers may collect technical information such as your device, browser, IP address, pages visited and cookie preferences. Please see our Cookie Policy for more information.
How we use information
We use personal information to:
• provide and manage bookings;
• take payment and send confirmations or service messages;
• prepare for age, safety, accessibility or support requirements;
• answer enquiries and handle complaints;
• prevent fraud, protect customers and keep the studio secure;
• meet accounting, insurance and legal obligations; and
• improve our website and customer experience.
Our main legal bases are performing our contract with you, complying with legal obligations and our legitimate interests in operating and improving Glow Crazy. Where we rely on consent, such as optional marketing, you may withdraw it at any time.
Children
Sessions are available for children aged 4 and over, but bookings for children must be made by a parent, guardian or responsible adult. We only use children’s names, ages and session information to administer the booking, provide the experience and meet safety requirements. We do not knowingly send marketing directly to children.
Who we share information with
We only share information when necessary with trusted service providers, including Squarespace and Acuity Scheduling for our website and bookings, payment processors, email and IT providers, professional advisers, insurers and public authorities where required by law. These organisations may only use information for the relevant service or legal purpose.
Some providers may process information outside the United Kingdom. Where this happens, we rely on appropriate contractual or legal safeguards.
How long we keep information
We keep booking and customer-service records only for as long as reasonably necessary for the purposes above. Financial records may be retained for up to six years to meet tax and accounting requirements. Optional accessibility information is retained only as long as needed for the booking and any related issue, unless a longer period is legally required.
Cookies and analytics
We use essential cookies to operate the website and booking process. With your choice, we may also use analytics or other non-essential cookies. You can accept, decline or manage these through our cookie banner.
Your rights
Depending on the circumstances, you may ask us for access to your personal information, correction, deletion, restriction, portability or to object to its use. You may also withdraw consent where consent is the basis for processing.
To exercise your rights, email hello@glowcrazy.co.uk. We may need to verify your identity. You may also complain to the Information Commissioner’s Office at ico.org.uk.
Security and updates
We use reasonable administrative and technical measures to protect personal information. No online service can guarantee absolute security. We may update this notice when our services or legal requirements change; the latest version will appear on this page.
